The administrative intern will provide support to OSEPI’s
administration and finance manager and to the policy team working on
internal policies of the EU. The successful candidate will work at
OSEPI’s office in Brussels under the supervision of the administration
manager. This includes a broad range of responsibilities from office
management to organizing meetings and assisting the team in organizing
specific policy activities and initiatives.

Administration (75 percent)
- Organizing meetings: logistics, administration, and follow-up budgets;
- Arranging domestic and international travel;
- Help in preparing expense reports;
- Updating the database of contacts;
- Providing support in the day-to-day office operations: liaise with suppliers, organize incoming mail and postal services, maintain office supplies and equipment;
- General administrative work and office duties: handle incoming calls, coordinate messages, and welcome visitors as needed;
- Assisting with formatting documents;
- Performing other general administrative work and office duties as required.
Policy activities (25 percent)
- Monitoring of EU policies and news in specific areas;
- Performing desk research to support ongoing projects;
- Preparing briefing notes, meeting reports, and other factual and analytical documents for the team;
- Assisting with forward planning/rolling advocacy calendar;
- Occasionally attending relevant meetings at EU institutions and other organizations, and taking notes;
- Taking notes during internal policy team meetings and preparing meeting minutes.
Qualifications
- Bachelor’s degree;
- Experience in administration and organizing meetings (logistics, administration, budget);
- Experience with bookkeeping and tracking budgets;
- Fluent in English and French; other languages an asset;
- Knowledge of EU processes and institutions;
- An interest and background in internal EU policies useful;
- Good writing skills;
- Comfortable in multi-tasking, detail-oriented, and working to deadlines;
- Ability to prioritize multiple assignments;
- Experience within an NGO or international organization;
- Interest in the activities of OSEPI and the Open Society Foundations;
- Computer literacy, with a good knowledge and experience of Microsoft Office, especially Word and Excel;
- Experience with contact databases.
