Job Description

About EMBO Fellowships: EMBO Fellowships are highly regarded by the scientific community and each year the EMBO Long-Term Fellowship Programme supports more than 200 postdoctoral researchers throughout Europe and worldwide.
EMBO is seeking an experienced administrative officer for the EMBO Long-Term Fellowship Programme. The Administrative Officer is responsible for providing a wide range of administrative support to all current EMBO Fellows and for processing applications at two annual deadlines.
Specific responsibilities:
  • Provide first point of contact and ongoing support for applicants and EMBO fellows;
  • Process applications and administer the entire evaluation process;
  • Deal with a large amount of enquiries from applicants, fellows and scientists;
  • Organize, prepare documentation and take minutes for committee meetings;
  • Collate statistical information and create reports as required;
  • Organize meetings for fellows, both locally and internationally;
  • Curate and administer the in-house fellowship database;
  • Assist the Programme Manager with related duties.

Qualifications and Experience

The successful candidate will
  • have relevant administrative experience, ideally in research administration;
  • have strong interpersonal and communication skills;
  • have an excellent command of written and spoken English;
  • be highly organized and able to prioritize and multi-task effectively;
  • remain calm in all situations and be able to work to strict deadlines;
  • have a sound working knowledge of current office software;
  • have the ability to work both independently and as part of a team;
  • be prepared to work overtime and travel if required;
  • strive for high quality of work and be aware of the aims and standards of the organization.
A university degree as well as experience of working in a service-minded environment, preferably international and/or scientific, are desirable.
