Traineeship - Administrative Assistant ABIS - The Academy of Business in Society

ABIS – The Academy of Business in Society is a global network of over 100 Corporates and Business Schools, who strive to create a culture of responsible business and business education through this community.
The Administrative Assistant works in direct collaboration with the Manager Operations as part of the executive team, which is lead by the Managing Director to provide support in all administrative functions in the areas of Finance, HR, Office management and Governance.
The selected candidate will work in a stimulating international environment, with numerous opportunities for personal development and to diversify his/her position within the organisation in the future.
Main responsibilities and activities:
Produce budget reports and projections for income and costs and update database with relevant financial information
Liaise with Accounting Services to issue and track membership invoices, monitor and record expenditure as well as process external requests for payment
Greet visitors, screen phone calls and manage incoming and outgoing post and email
Coordinate travel and accommodation arrangements
Organise diaries and support in-house and external meetings and events
Assist the line manager to liaise with external work-related agencies
Prepare and distribute documents for meetings, take minutes and keep notes
Carry out background research and present findings
Produce administrative documents, organise and store paperwork
Order, dispense, and maintain general office supplies and equipment
Maintain the condition of the office and arrange necessary repairs

Excellent English and French communications skills, written and verbal
Integrity and confidentiality
Good organisational skills
Great time management
Proficiency with IT and various computer packages like Microsoft Office
Accuracy and attention to detail
Ability work under pressure
Bright and positive attitude
Qualifications:
Certificate or diploma preferred on secretarial or administrative subjects
